Full Job Description

We are seeking a highly organized Project Administrator / Executive Project Coordinator to support executive-level initiatives through strong project coordination, administrative oversight, and cross-functional collaboration. This role partners closely with Business Unit Heads and senior leaders to support planning, tracking, communication, and delivery of high-visibility projects, while also managing critical executive administrative functions. This is an ideal opportunity for candidates with healthcare claims or Medicaid experience as a Project Coordinator, PMO Administrator, or senior Executive Assistant who want deeper exposure to structured project environments and executive-level initiatives. US Citizenship or Green Card required, must be local to Sacramento WORKSITE Sacramento Area- Hybrid or onsite based on business needs WORK SCHEDULE Full-time | Monday-Friday Additional hours may be required during peak project phases or executive initiatives PAY RATE $38.00 -$40.00 per hour WHAT WE OFFER Paid sick leave based on state regulations after 90 days of employment Medical, dental, and vision coverage after a waiting period (60% paid by Fortuna) Free TeleMedicine and Mental Health support for all employees and their families Additional voluntary benefits: Group Life Insurance, Accidental Insurance, Critical Care, Short-Term Disability WHAT YOU'LL DO Provide project coordination and administrative support for executive-level initiatives, including planning assistance, scheduling, deliverable tracking, and status reporting Support activities across the project lifecycle, including initiation, planning, execution support, monitoring, and close-out documentation Prepare and maintain project artifacts, including agendas, action logs, timelines, presentations, trackers, and executive-ready materials Partner closely with Business Unit Heads and senior leadership to coordinate priorities, deadlines, and project communications Collect, analyze, and synthesize data to support decision-making, issue resolution, and executive briefings Track project milestones, dependencies, risks, and issues; escalate concerns proactively as needed Serve as a central point of contact for assigned projects, ensuring clear and timely communication with stakeholders Develop, document, and improve project workflows, templates, and standard operating procedures (SOPs) Act as the primary quality assurance (QA) contact for standard project deliverables to ensure accuracy, completeness, and consistency Coordinate meetings, prepare materials, capture action items, and track follow-through Manage executive calendars, schedules, and logistics in alignment with project timelines and critical milestones Arrange complex travel and submit expense reports related to executive and project activities Collaborate with internal teams to support meeting coordination, data requests, and reporting needs WHAT YOU'LL BRING Ability to manage multiple concurrent projects and priorities with attention to detail and deadlines Experience with healthcare claims or Medicaid Strong organizational, analytical, and project coordination skills Experience supporting executive-level stakeholders with professionalism and discretion Ability to analyze information, identify issues, and apply critical thinking and structured problem-solving Strong written and verbal communication skills, including experience preparing executive-level materials Ability to work independently with minimal direction in a fast-paced environment Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with project tracking tools is a plus Demonstrated ability to improve processes and implement efficiencies High degree of discretion when handling confidential and sensitive information Positive, proactive mindset with a strong sense of ownership and accountability MINIMUM EDUCATION Associate's degree or equivalent work experience required Bachelor's degree preferred MINIMUM RELATED WORK EXPERIENCE 3+ years of experience supporting an Executive or Business Unit Head Demonstrated experience providing project coordination or project administrative support Experience interacting confidently and professionally with senior leaders and executives Advanced proficiency in Microsoft Office products ABOUT FORTUNA Fortuna operates as a staffing agency that sources, screens, and presents potential candidates for employment opportunities on behalf of our clients.
